Third-Party Services

MailTrixy integrates with various third-party services to provide its full range of features. These integrations are subject to their own terms of service and privacy policies:

Email Providers - Gmail, Outlook, and custom IMAP/SMTP servers are connected via OAuth or direct credentials. Email data is synced and stored on your server. Each provider operates under their own terms of service and data handling policies.
AI Providers - OpenAI, Anthropic Claude, and Google Gemini are used for AI-powered features such as smart replies, email summarization, and knowledge base queries. API calls are subject to each provider's usage policies, rate limits, and pricing. MailTrixy sends conversation context to these providers to generate responses.
Payment Gateways - Stripe, PayPal, Razorpay, Mollie, Paystack, Flutterwave, and other payment processors each operate under their own merchant agreements and terms of service. MailTrixy acts as an intermediary and does not store or process payment card data directly.
SMS/Voice Providers - Twilio and Vonage are used for SMS and voice channel integrations. Usage is subject to their respective terms, pricing, and compliance requirements (e.g., A2P 10DLC registration for US numbers).
Messaging Platforms - WhatsApp Business API, Telegram Bot API, and Slack API integrations are governed by their respective platform policies. Usage must comply with each platform's messaging guidelines and acceptable use policies.

Data Responsibility

As the operator of a MailTrixy installation, you bear full responsibility for:

Data Backups - Regularly backing up your database and storage files. MailTrixy does not provide automated off-site backup functionality.
Server Security - Securing your server environment, including keeping the operating system, PHP, and all dependencies up to date with the latest security patches.
Regulatory Compliance - Ensuring your use of MailTrixy complies with applicable data protection regulations, including but not limited to:
- GDPR (General Data Protection Regulation) for users in the European Union
- CCPA (California Consumer Privacy Act) for users in California
- CAN-SPAM Act for commercial email in the United States
- LGPD (Lei Geral de Protecao de Dados) for users in Brazil
- Any other local, national, or international data protection laws applicable to your jurisdiction
SSL/TLS Configuration - Ensuring your server uses valid HTTPS certificates to protect data in transit, especially given that email credentials and conversation data are handled by the platform.

Email Content

MailTrixy provides tools for managing, sending, and organizing email communications. The platform does not claim ownership of any content created or sent by users.

Users are solely responsible for:

Ensuring all email content complies with applicable anti-spam laws (CAN-SPAM, GDPR, CASL, etc.)
Obtaining proper consent from recipients before sending marketing or bulk emails
Providing clear unsubscribe mechanisms in all commercial communications
Ensuring email content does not violate any applicable laws, regulations, or third-party rights
Complying with the acceptable use policies of connected email providers (Gmail, Outlook, etc.)

The platform operator should implement appropriate content policies and compliance practices as required by their jurisdiction and the jurisdictions of their recipients.

This software product is provided as-is and may include features designed to assist with data management and compliance efforts. However, we do not guarantee that all features or functionalities of this product meet the requirements of the General Data Protection Regulation (GDPR) or other data protection laws.

By purchasing, downloading, or using this software, you acknowledge and agree to the following:

We shall not be held responsible for any issues, errors, or discrepancies that arise after the project has gone live, including those that impact performance, functionality, or overall system operation.

Please note that we are not responsible for any kind of data loss or server crashes that may occur during the installation, updating, bug fixing, use, or maintenance of our software. We strongly recommend that all users take comprehensive backups of their data and server settings before sharing cPanel/Plesk Panel/FTP/SFTP/Cyber Panel/AA Panel/PhpMyAdmin, Server details or making any changes to their server configuration. By providing Server details or any other sensitive access credentials, you acknowledge and agree that you do so at your own risk, and it is your responsibility to ensure that your data is backed up and secure.

The user is solely responsible for ensuring their server environment is secure and properly configured. This includes applying necessary updates, monitoring for vulnerabilities, and using recommended security practices. Any third-party services, including hosting providers, are the responsibility of the user, and we are not liable for their performance, billing, or associated issues.

We are not liable for any losses, including but not limited to:

Bandwidth overages or additional charges
Data loss or corruption
Server provider billing disputes
Issues arising from phishing or other malicious activities
Downtime
Security breaches
Conflicts with third-party plugins, themes, or scripts

API Key Security

MailTrixy stores API keys for AI providers (OpenAI, Anthropic, Gemini), email services, payment gateways, and messaging platforms (Twilio, WhatsApp, Telegram, Slack). It is the user's responsibility to:

Keep all API keys secure and never expose them publicly
Use environment variables (.env file) for storing sensitive credentials
Restrict API key permissions to the minimum required scope
Rotate API keys periodically and immediately if a breach is suspected
Monitor API usage dashboards for unusual activity

We are not responsible for any charges, data exposure, or service disruptions resulting from compromised, leaked, or mismanaged API keys.

OpenAI APIs

MailTrixy integrates with OpenAI APIs for features such as AI-powered reply generation, email summarization, sentiment analysis, and knowledge base queries. By using these features, you agree to OpenAI's Terms of Use and Usage Policies. Email conversation context may be sent to OpenAI's servers to generate responses. We are not responsible for how OpenAI processes, stores, or uses this data. Users should review OpenAI's data handling practices and ensure compliance with their own privacy obligations.

Twilio APIs

MailTrixy integrates with Twilio for SMS and voice channel capabilities. By using these features, you agree to Twilio's Terms of Service and Acceptable Use Policy. You are responsible for complying with all applicable telecommunications regulations, including obtaining proper consent for SMS marketing, registering for A2P 10DLC (US), and adhering to carrier filtering guidelines. We are not responsible for message delivery failures, Twilio account charges, or compliance violations.

Envato API

MailTrixy uses the Envato API for license verification and update checks. By using MailTrixy, you agree to Envato's Terms of Service. We are not responsible for any issues arising from Envato API downtime, changes to their API, or license verification failures.

Prohibited Uses

You agree not to use this software for any unlawful, illegal, or unauthorized purpose, including but not limited to:

Sending unsolicited spam or bulk email without proper consent
Hacking, phishing, or spreading malware
Infringing on copyrights, trademarks, or other intellectual property
Violating privacy laws or data protection regulations
Hosting or distributing offensive, defamatory, or harmful content

Disclaimer for Bulk Email Sending & Automated Email

The bulk email sending and automated email software provided by us is intended strictly for lawful, ethical, and permission-based communication. By purchasing or using this software, you agree to comply with all applicable local, national, and international laws and regulations, including but not limited to anti-spam laws, data protection regulations, and privacy policies (such as CAN-SPAM, GDPR, or other relevant frameworks).

You are solely responsible for:
